Recorded asset use connects staff, maintenance thresholds and operating costsIllustrative West field group asset records for eligible staff member Alex Rivera, U-037. M-04 has recorded runtime readings of 239 hours on September 1, 248 on September 4 and 252 on September 5, 2026. The explicitly labeled meter window is 220 to 260 hours. The configured 250-hour service rule is crossed by the latest recorded reading, leaving it two hours past the rule; maintenance work order MW-021 is open, not completed. Vehicle V-12 separately records 12,480 kilometres with 20 kilometres remaining to its 12,500-kilometre rule. September 5 recorded fuel and oil costs total 18 Canadian dollars for M-04 and 48 for V-12, or 66 across both. These are stored operating records, not live telemetry, complete costs or automatic work-order creation.Recorded use belongs to the operation.Alex Rivera · U-037 · West field groupM-04 · equipment runtimeRecorded meter window · 220–260 h2391 Sep2484 Sep2525 Sep250 h rule2 hours pastMW-021Work order openV-12 · vehicle distance12,480 km12,500 km rule20 km remaining5 Sep fuel/oil entries: M-04 $18 · V-12 $48 · CADAlex Rivera · U-037 · West field groupM-04 · recorded runtimeRecorded meter window · 220–260 h2391 Sep2484 Sep2525 Sep250 h rule2 hours pastMW-021 openV-12 · 12,480 km20 km to rule5 Sep recorded fuel/oil: $66 CAD across both assets
A maintained operating asset record

Organize the vehicles and equipment your team actually uses.

Create and maintain vehicle and equipment records for the business. Search and filter by staff, asset type and status to focus on the part of the operation you need to review.

The module brings the asset, staff-group, usage, maintenance and cost context together. A service fleet, specialist equipment or the combination used by a field team can be managed through these records.

Vehicle and equipment identity
Maintain the assets as recognizable business records, with their type and status available for review. Use the list to find the relevant record as the fleet or equipment base grows.
Staff groups
Create and manage staff groups associated with tracked assets. Keep the people and operating resources connected within the equipment-management workflow.
Operating summaries
Review tracked assets, staff groups, distance, runtime, fuel or oil cost, maintenance cost, due-now work and tracked-cost summaries.
The record of the asset in use

Understand usage and the cost of keeping it working.

Different assets need different operating measures. Record vehicle distance and equipment runtime, and retain the fuel or oil activity and cost that contribute to the working history.

Vehicle distance

Record distance against the vehicle so the operating history can inform review and meter-based upkeep. Eligible route usage can be synchronized into the asset record.

Equipment runtime

Track runtime for the equipment your business operates. Keep the measure relevant to the asset and use it alongside the configured maintenance rules.

Fuel and oil activity

Record activity and cost against the asset. Review those operating expenses with usage and maintenance history when assessing the resources behind service delivery.

Staff-attributed usage records preserve the right units and their recorded operating costsIllustrative September 5, 2026 usage attributed to Alex Rivera, U-037. Runtime event U-045 for M-04 records 248 to 252 hours, an increase of 4 hours, with 12 Canadian dollars fuel and 6 dollars oil, totaling 18. Distance event U-046 for V-12 records 12,460 to 12,480 kilometres, an increase of 20 kilometres, with a 48 dollar fuel entry. No oil entry is listed for that second event. The listed fuel and oil costs total 66 dollars across the two events. These recorded meter changes are distinct from booked time, planned route distance, live tracking, maintenance costs and the full cost of delivery. Each reading keeps its working context.5 September 2026 · Alex Rivera · U-037RECORDED COSTS IN CADASSET / USAGE EVENTPREVIOUSRECORDEDCHANGEFUELOILTOTALM-04 · U-045Runtime · hours248252+4 h$12$6$18V-12 · U-046Distance · kilometres12,46012,480+20 km$48$48Two usage events · only their listed fuel and oil entries$66 recorded5 Sep · Alex Rivera · U-037M-04 · U-045 · runtime248 to 252 h+4 hFuel $12 + oil $6 = $18 recordedV-12 · U-046 · distance12,460 to 12,480 km+20 kmFuel $48 recordedTotal listed fuel and oil: $66 CAD
Maintenance with a defined basis

Plan upkeep around time and recorded use.

Define meter-based or time-based maintenance rules for the relevant assets. Give the operation a consistent way to manage upkeep using the measure appropriate to each vehicle or piece of equipment.

Set the maintenance rule
Use a time or meter basis for the required work. Keep the rule attached to the asset context that explains why the upkeep is relevant.
Manage the work order
Create and manage maintenance work orders so the required work has an operating record the team can review.
Review what is due and what it costs
Due-now and maintenance-cost summaries help the business review its upkeep requirements alongside tracked usage and operating costs.

Connect the asset to staff, route and operating cost.

Vehicle and Equipment Management is a dedicated working module. It brings asset upkeep into the same operating environment as staff assignment and field delivery.

Use eligible route activity

Synchronize supported route usage into the asset history. Retain the staff, route and operational context behind the recorded distance or runtime.

Review the available usage events to understand where the asset record comes from and how it relates to the work performed.

Explore route planning and execution →

Review the broader operation

Routing Metrics can review the time, stops, service activity and financial coverage behind field delivery. Use that operational view alongside the separate asset record and its costs.

Staff, customer and service performance give the business additional context when evaluating the resources required to perform the work.
