Contract Terms administration

Maintain the language
behind every agreement.

Give your business a reusable foundation for service and commercial terms. OrdexisOne connects clause libraries, versioned templates, catalog assignments and signing settings to the agreements your customers review.

Payment, scheduling, access and cancellation language can apply differently across the services you sell. Maintain the appropriate terms and their effective periods in the system instead of rewriting an unrelated document for every customer.

Different service offers use their own maintained terms while reusing a relevant access clauseIllustrative Maple Services catalog configuration effective 1 October 2026. One-time commercial floor care costs 210 Canadian dollars for one visit, is paid at checkout and uses Contract Terms template T-720 version 2. A three-month care plan contains weekly floor-care visits at 210 Canadian dollars per visit with monthly billing and uses template T-721 version 1. Both are explicitly assigned reusable access clause AC-18 version 2 for access after 18:00. A reusable term library

Apply the right language to the right offer.

Create reusable clauses and organize them by their commercial purpose. Scope terms globally or to the relevant category, service or package so the language has a defined place in the catalog.

Assignments connect the maintained terms to the work your business sells. A recurring care offer, a one-time service and a project package can use the appropriate terms without turning the feature into a trade-specific document set.

Organize by the clause's purpose.

Supported categories include general, service, payment, cancellation, liability, warranty, access, scheduling, communication, dispute, confidentiality and custom terms.

Version and date the language
Maintain versions, effective dates and expiry dates so the business can manage which wording applies during a particular period.
Control active use
Activate or deactivate terms and assign them to relevant catalog items. The library provides a maintained source for the language used by the business.
Reusable clauses have explicit assignments to the offers they governIllustrative maintained clause assignments for the one-time commercial floor-care service and the three-month care plan. Access clause AC-18 version 2, category-scoped to commercial care, is explicitly assigned to both offers and summarizes access after 18:00. Payment clause PY-01 version 1 is scoped and assigned to the one-time service for payment at checkout. Payment clause PY-02 version 1 is scoped and assigned to the care plan package for monthly billing. Dashes identify unassigned clauses, not missing customer answers. AC-18 version 2 is active with an effective date of 1 October 2026. Build templates that are practical to maintain.

Contract-term templates organize the agreement into sections and content blocks. The business can maintain reusable structure alongside the language rather than treating every agreement as a one-off attachment.

Create and manage the template.

Create a contract-term template, organize its sections and add the content it needs. Duplicate a template when a new agreement should start from an existing foundation and set the default used by the configured workflow.

Maintain versions and activate, retire or delete eligible templates as the library changes.

Use content blocks with a purpose.

Headings, paragraphs, lists and tables organize the agreement's information. Signature and date blocks support the signing content, while service terms connect the relevant commercial language.

Dividers, spacers and page breaks provide document structure. Page layout and visual-style settings shape the resulting agreement presentation.

Control the signing requirements

Define what the customer must review and complete.

Contract settings govern how the agreement is presented and signed. Configure the required review behavior and supported signature methods for the business's agreement process.

Adding previously excluded work requires a new signature when the business has configured that ruleIllustrative agreement A-720 for Priya Shah, 18 Market Street. The original signed scope on 2 October 2026 contains 2,700 square feet of floor care, excluding a 300-square-foot office, at 210 Canadian dollars. On 3 October the proposed scope adds that office for a total of 3,000 square feet and a price of 225 Canadian dollars, using the same configured 75-dollar base plus 5 cents per square foot. This business has configured a price-change rule requiring re-signing. The changed agreement requires review and a new signature; the earlier signing event does not fulfill it. The example does not establish a new payment, a scheduled appointment or completed added work.A-720 / PRIYA SHAH / 18 MARKET STREETAdding the office changes the agreement.SIGNED · 2 OCT 2026UPDATED · 3 OCT 2026Office excluded2,700sq ft selected+300 sq ft3,000sq ft selected$210CAD$75 base+ $135 area$225CAD$75 base+ $150 areaOriginal signature recordedNew signature requiredCONFIGURED RULEPrice changes require re-signingReview and sign the updated scope
Required review
The flow can require the signer to reach the end of the terms before continuing. The supported multi-page agreement experience also brings page review into the signing process.
Signature methods
Configure allowed typed or drawn signing methods. Supported agreement flows collect the required name and declaration alongside the signature.
Changes that require signing again
Define when price or text changes require re-signing. Those settings make the signing requirement part of the configured commercial process.
Communication and document settings
Configure backup email behavior and the agreement's page layout and visual style alongside the signing requirements.

Keep terms connected to the offer and transaction.

Contract products define included services, duration, billing cadence and relevant renewal or cancellation behavior. Their terms and signing workflows give those commercial rules a place in the customer agreement.

The plan-enabled Visual Contract Builder can present company, customer, order, pricing and contract context in a branded multi-page document. The supported checkout path brings the required single contract together with account details and configured payment.
